A guided walk-through of how to use this dashboard to land sponsors.
Two jobs, one goal:
raise cash and bring in auction items. Everything on this page supports those two asks. Work the boxes below in order — the rest of the page is reference you pull up when you need it.
Land a Cash Sponsor
1
Pick 5 Businesses
Choose one of the 13 categories below and pull 5 prospects. Own one category — don't shotgun all 13.
2
Add to the Tracker
Put your 5 in the Sponsor Tracker with your name as owner, status Not Contacted. If it isn't logged, it didn't happen.
3
Make the Ask
Email is easiest — use Send Now and it goes from info@roundrockfirefoundation.org with the flyer attached. Walk-in or call? Talking points are below.
Email the business name, contact, and tier to info@roundrockfirefoundation.org. Diedra submits the invoice from there. Mark the prospect Confirmed in the tracker.
6
Log the Win
Add it in Quick Log so the homepage scoreboard updates for the whole committee.
Bring In an Auction Item
1
Pick a Package
Open Auction Ideas, pick a themed package, and pick one business that fits it.
2
Ask for One Item
Keep it simple — one specific item, gift card, service, or experience. Use the auction emails below.
3
They Say Yes
Email the donor name, item, estimated value, any restrictions, and pickup details to info@roundrockfirefoundation.org.
The dashboard sends the email for you straight from info@roundrockfirefoundation.org with the flyer auto-attached — just use the Send Now form below. If you'd rather attach the flyer manually in Gmail or Outlook, click any Download button to save the file first.
Click Send and the dashboard delivers the Initial Email script from info@roundrockfirefoundation.org with the Sponsor Flyer attached. No mail client needed. Every send is logged to the Outreach Log tab in the Sheet.
How it works: The dashboard sends through Diedra's authorized Google Apps Script, which runs as info@roundrockfirefoundation.org. The flyer is auto-attached. Recipients see the email as if Diedra sent it from the foundation address — no committee member needs access to the info@ inbox.

Talking Points · Say It In Your Own Voice
These aren't rigid scripts. Each tab tells you what to cover, gives you a sample opener you can adapt, and — if you're stuck for words — has an "exact wording" fallback you can expand. You'll sound more genuine when you make it your own.

Subject: Quick follow-up — Blazing Paddles sponsorship
Hi [FIRST NAME],
Just wanted to circle back on the sponsorship opportunity I mentioned for the Blazing Paddles Pickleball Tournament on October 10th. We're finalizing our sponsor lineup over the next few weeks and I'd love to know if [BUSINESS NAME] would like to be part of it.
Happy to jump on a quick call or send the one-page sponsorship flyer — whichever is easier for you.
Thanks for your time,
[YOUR NAME]
Round Rock Fire Foundation
What to cover in the thank-you
Thank them by name — not the company, the human
Tell them what you raised — exact dollar amount, attributable to them
Show the impact — teams played, people attended, social reach
Attach 2–3 photos — their logo/banner visible at the event
Plant the 2027 seed — "I'll reach out in the spring"
💡 Why this matters: The thank-you is when you re-sell next year's sponsorship. Sponsors who see real impact + photos of their logo come back at 2x the rate.
Sample opener
"Hi [first name] — thank you again for sponsoring Blazing Paddles. Because of [business], we raised $[total] for Round Rock firefighter families. Here are a few photos from the day with your logo front and center. We couldn't have done it without you."

Handling Objections
"We don't have budget right now."
"I totally understand — a lot of businesses are planning ahead right now. We also have an in-kind option where you could donate a gift card or service for our silent auction. That still gets your name in front of 500+ people (players plus their families), and it's a smaller commitment. Would that work better?"
"We already sponsor other events."
"That's great — it shows you care about the community. What makes our event unique is that 100% of funds go directly to local firefighter families. There's no national overhead, no admin fees. Every dollar stays right here in Round Rock. Plus, pickleball is one of the fastest-growing sports in America — 24 million players nationwide. Your brand gets in front of an active, engaged audience."
"Send me information and I'll think about it."
"Absolutely, I'll send you our one-page sponsorship flyer right now. Can I also ask — what's your timeline for deciding? I'd love to follow up next week and answer any questions. Would Tuesday or Wednesday work better for a quick call?"
"How do we know we'll get ROI?"
"Great question. Your logo goes on all flyers and social media posts leading up to the event. On tournament day, your business name is announced over the PA, your banner is displayed at the venue, and you'll have direct face-to-face contact with 200+ players and their families — 500+ people in all. After the event, I send you a report with attendance numbers, photos, and social media reach. And I'll be completely transparent — if we don't deliver what we promised, I'll make it right."
"We're not interested."
"I appreciate your time. Before I go — would it be okay if I checked back in next year? Our tournament is going to grow every year, and I'd love to keep [BUSINESS NAME] on our radar."
