Track every ask the same way

Use the live tracker for sponsor leads, auction items, in-kind donations, follow-ups, pickup notes, and thank-you status.

Check before you contactSearch the tracker for the business name first so we do not duplicate outreach.
Claim the leadIf you are contacting someone, put your name in the Owner column and keep the status updated.

Live committee tracker

Open the Google Sheet when you contact a business, receive a commitment, pick up a prize, or send a thank-you. This keeps the committee from duplicating asks or losing follow-up details.

How to use the tabs

Use Donation Tracker for every lead, Auction Inventory for prize details, Sponsor Pipeline for cash sponsor conversations, and Instructions for the operating notes.

Update after every touch

Assign one owner, set the status, add the next follow-up date, and mark received and thanked when complete. Keep notes short and factual.

How to use the tracker

One row per ask. Keep the next step clear.

The tracker is only useful if everyone enters information the same way. Use these rules when adding or updating a lead.

Before you contact someone

Search the tracker for the business name first. If it is already listed, check the owner and status before reaching out. If it is not listed, add a new row and put your name in Owner.

When you make the ask

Enter the contact name, email or phone, the specific ask, and the type of support. Use Sponsor for cash support, Auction Item for prizes, and In-Kind for donated services or supplies.

After each contact

Update Status, Last Touch or Notes, and Follow-Up Date. If the business says yes, record the value, pickup details, logo status, and any recognition promised.

When something is received

Mark Received as Yes, add where the item or payment is being held, and move auction items to the Auction Inventory tab if needed.

When the thank-you is done

Mark Thanked as Yes and note how they were thanked. This helps with recognition after the tournament and makes next year’s outreach easier.

What not to do

Do not delete someone else’s row, overwrite another owner’s notes, or contact a business that already has an active owner without checking first.
