Sponsor Outreach Workflow

Use the same process for every business.

This keeps outreach organized and makes it clear what each volunteer should do before, during, and after a sponsor conversation.

Pick the right business

Match the ask to the business. Larger employers, medical groups, banks, developers, and regional brands are better sponsor targets. Restaurants, shops, hotels, entertainment venues, and service businesses may be better auction or in-kind targets.

Check the tracker first

Search the Donation Tracker before reaching out. If the business is already listed, check the owner and status. Do not contact an active lead without checking with the owner.

Make a clear ask

Say what the event is, who it benefits, what level or item you are asking for, and when you need an answer. Do not send a vague “would you like to help?” message.

Send the right flyer

Use the Flyers page for current event materials. For sponsor conversations, send the event information and explain the recognition level. If they ask for foundation details or tax information, route that request back to the lead organizer.

Log the response

Update the tracker after every touch. Record yes, no, maybe, or follow up later. Add the next follow-up date so the lead does not stall.

Close the loop

If they say yes, confirm the amount or item, get the logo if needed, note payment or pickup details, add recognition notes, and mark the thank-you step when it is complete.
